What is an ICS File?

An ICS file is a universal calendar file format that can be used across various email and calendar programs, including Google Calendar, Microsoft Outlook, Apple Calendar, and many others. It contains all the details of an event, such as the title, date, time, location, meeting link, and any notes or reminders.

By downloading and importing an ICS file, you can quickly add an event to your calendar without manually entering the details no matter which calendar app you use.

To open an ICS invitation (iCalendar file), you’ll generally use a calendar application that supports the .ics file format. Popular options include Microsoft Outlook, Google Calendar, Apple Calendar, or Thunderbird. You can either double-click the file to open it, or use the “Import” or “Open” function within the calendar application. 

Here’s a more detailed breakdown:

1. Determine Your Calendar Application:

If Outlook is set as your default application for .ics files, double-clicking will open the invite directly in your calendar. Alternatively, go to File > Open & Export > Open Calendar, find the .ics file, and choose Import. 

Open Google Calendar, go to Settings > Import & Export, and select the file to import. 

On Mac, go to File > Import. On iPhone, the Calendar app will automatically prompt you to import the event when you open the downloaded .ics file. 

You can import .ics files into Thunderbird’s calendar using the Import/Export function, or by dragging and dropping the file onto the calendar. 

2. Choose Your Opening Method:

  • Double-Click:

    If your calendar app is set to open .ics files, double-clicking the file will usually import the event directly into your calendar. 

  • Import/Export Function:

Most calendar apps provide a “Import” or “Open & Export” function. Look for this option within your calendar application’s File menu or settings. 

  • Drag and Drop:

Some apps, like Thunderbird, allow you to drag and drop the .ics file directly onto your calendar.

3. Important Considerations:

  • Compatibility:

    Ensure your calendar application supports the .ics format and is up-to-date. 

  • Default Application:

If you have multiple applications that can open .ics files, you might need to set your preferred calendar app as the default for .ics files in your operating system’s settings. 

  • The New Outlook:

New Outlook might require you to import the .ics file by dragging and dropping it into the calendar view, says Microsoft Community.
